The story

Context

A distributor operating four branches across two counties, moving fast-moving consumer goods to retailers.

The problem

Four branches tracked stock in separate spreadsheets. Dispatch errors were routine, nobody could see group stock in one place, and month-end close took a week of reconciliation that one person held in their head.

What we did

A shared inventory and dispatch system with branch-level permissions, barcode picking and M-Pesa reconciliation. Existing stock data was cleaned and migrated, and branch staff were trained on site over two days.

01

Watched a full dispatch cycle

Two days on site with the storekeepers before anything was designed.

02

Cleaned and migrated the data

The four spreadsheets disagreed. Reconciling them was the largest single item of work.

03

Built in two-week cycles

Each ending in a demo run against real stock data by the people who would use it.

The outcome

Month-end close now runs in a day, dispatch errors fell sharply, and group stock is visible from one screen.

Next

Supplier ordering and reorder-point automation on top of the same data.
